Get results in days, not monthsResults in days, not monthsAn accountant does not have a lead problem so much as a sorting problem. In busy season, calls arrive faster than anyone can answer them, and most are for something the firm does not want to do. In the off season, the reverse is true. Lead generation here means producing inquiries from the clients you want, qualifying them before they use up an hour and answering the good ones fast enough that they do not call someone else. We help with all three, and we do not sell leads.
Sources
| Source | Typical client | Strength | Weakness |
|---|---|---|---|
| Referral from a client or friend | All types | High trust and a quick decision | Hard to scale, depends on a few people |
| Professional partner | Business owners, estates, planning | Warm, often high value | Takes time to build and to keep warm |
| Google Maps and local search | Households and small businesses | People ready to call now | Competitive, mixes good and poor fits |
| Organic search to guides and service pages | Researchers at every stage | Builds slowly and keeps working | Takes months to mature |
| Paid search | People with an immediate need | Quick to start and stop | Needs tight control to avoid wasted clicks |
| Social and display | Warm audiences and local owners | Keeps you in mind | Rarely closes without another touch |
| Directories and marketplaces | Varies | Easy to start | You compete with others for the same contact, and quality varies |
| Walk-ins and the neighborhood | Households | Local roots | Seasonal and unpredictable |
Quality
Leads for an accountant vary enormously in worth. A freelance designer with three clients, a rental property and a messy year of receipts may become a ten-year relationship. A caller who wants a quick quote for a simple return and then compares prices with four other accountants rarely does. A company that needs monthly bookkeeping and payroll is worth many times either. Counting everything as a "lead" hides that difference and tempts firms to cut back on exactly the channels producing the best inquiries.
We help you define a qualified inquiry in your own terms: the services requested, the entity type, the location, the timing and the reason they called. Each one is then tagged when it arrives, so the monthly report shows not just how many came in but how many matched, how many booked a conversation and how many signed.
Screening
Service match
A short menu on the form separates bookkeeping, business tax, individual returns and IRS help.
Client type
The single biggest sorter, and easy to ask early.
Timing
Tells the front desk whether it is an urgent deadline matter or a planning conversation.
Fit
Helps match the right preparer and shows whether the books are organized.
Source
Even a rough answer helps attribute clients to channels.
Speed and capacity
One person owns inquiries during busy season. A shared inbox with no owner is where leads die.
A short automatic message confirms receipt, states hours and sets expectations about timing. It never includes details about a return.
Offer a calendar link for a first call. Prospects choose a slot, and the firm avoids phone tag.
For work you decline, send a polite note, and where appropriate suggest a referral partner. It keeps goodwill and builds your network.
Prospects you could not take in March are valuable in June, and a short note then often turns into a retainer.
Marketplaces
Online marketplaces connect people to professionals and charge by lead, by click or by subscription. Some firms get a steady flow of good clients. Others find that the same inquiry was sent to four firms, that many leads were simple returns and that the cost per signed client was far higher than it first looked. Before you commit, track a full quarter: how many inquiries, how many reached you, how many booked a call and how many signed. Compare that to what your own site and listing produce.
Be careful with services that offer tax resolution leads, since some make claims about outcomes that your board or the IRS Office of Professional Responsibility would not accept, and some involve paid referrals that carry their own rules. We do not sell leads, we do not buy case referrals for you and we do not take a cut of your fees. We build owned channels, such as your site, your listing and your ads, so you keep what you build.
Tracking
| Column | What to record | Why |
|---|---|---|
| Date and contact method | Phone, form, referral, walk-in | Shows where inquiries arrive |
| Client type | Individual, small business, niche | Separates volume from value |
| Service requested | Return, bookkeeping, payroll, IRS help, advisory | Shows which pages and ads work |
| Source | What the caller says, plus tracking data | Credits the right channel |
| Outcome | Booked, signed, declined, no response | Reveals where inquiries are lost |
| First-year fee | Actual billed amount | Turns the table into a budget tool |
Referrals
Most accountants have three or four partners who send most of their referred work, and few have a routine for them. A simple one is enough: a short thank-you after each referral, an update on how the engagement began (without sharing confidential details), a quarterly coffee and a resource the partner can pass to clients. Record every referral in your tracking table, so you can see which partners bring clients worth keeping.
Check the rules before any arrangement involving payment, since fees for referrals are regulated for many professionals, and keep any reciprocal agreements clear and disclosed where required. When in doubt, ask your board or counsel.
Phone scripts
Honest about timing
"We are taking new business clients now and individual returns on a waitlist. May I get your name and the best time to call back?"
Qualify gently
"Which software do you use, how many months are behind and when would you like to start? I will book you with the partner who handles that."
Calm and careful
"Please do not send documents by email. Let us book a call with a licensed professional first, who can explain how we would look at it."
Explain, do not dodge
"Fees depend on the number of entities and the state of the books. Here is how we price and what a first call covers."
Kind and quick
"We are not the right firm for that, but here are a couple of places to try."
Intake security
Lead forms are often the weakest point in an accountant's data handling. A web form that asks for a Social Security number, an income figure or a copy of a notice, and then sends it as a plain email, creates exposure for the prospect and for you. Keep the first form to contact details and a short description of what is needed. Tell the person plainly not to include account or identification numbers. Route submissions to a protected inbox, limit who can read them and delete old ones on a schedule.
Document requests come after an engagement begins and go through the portal. Staff who answer the phone should know to stop a caller who starts reading out personal numbers and to explain the secure path instead. Written security procedures, an engagement letter that explains how information is handled and an annual review of who has access make this a habit and not a hope. Your counsel or security adviser can help with the details that apply to your practice.
Pricing
FAQ
It depends on the mix. Landing pages are $495 a month, managed ads begin at $895 and Organic Growth begins at $1,495. Your ad budget is billed by the platform. We charge no setup fee and ask for no contract.
No. We build your own channels, such as your site, Google listing and ad accounts, so that inquiries come to you and you own the assets.
As quickly as you reasonably can. Prospects often contact several firms, and the first helpful reply tends to have an advantage. An instant automated acknowledgment and a booking link buy time during busy periods.
Pause the campaigns that bring simple returns, update the Google profile to say you are not taking new individual clients and keep a short waitlist. Business clients can still be served in a calmer way.
Yes. Call tracking can record only call counts, duration and source, with no audio. Whether to record at all is a legal question that depends on your state, so ask your counsel.
Add a column for outcome to your tracking table and match new engagement letters to their first source. We help set it up and read the results with you every month.
